| Meeting Agenda | MOM – BOD – Rotary Club Pune Sahawas November 27, 2021 Present: Pres Mahendra Chitte, Rtn Ajay Mutatkar, IPP Kiran Ingale, Rtn Pratibha Jagadale, Rtn Prakash Avachat, Rtn Dinkar Palaskar, Sudhir Vaidya, Rtn Nivedita Mulay and Rtn Nandakumar Ghule The Club BOD Meeting was held at St Cripsen’s School Office on November 27, 2021. The points taken up for discussions are as under: 1. The BOD had finalized December 12, 2021 as the AGM Date. Pres Chitte Proposed that the location be finalized for same as PUNYAI hall. This was seconded by Rtn Prakash Avachat and approved by all. With unanimity it was decided that the AGM will be held at Punyai hall from 6.00 PM to 9.00 PM followed by dinner. 2. It was shared that in the Club Bank account Rs 2.87 Lakhs were balance as on date and following expenses have yet to be met: a. Installation and Planning meeting: Rs 75,000 b. Club Day: Rs 80,000 c. DG Visit: Rs 25,000 d. AGM: Rs 25,000 e. Club Admin (weekly meeting): Rs100,000 f. Transfer to Trust: Rs100,000 g. Training Expenses: Rs 20,000 h. Club Awards: Rs 15,000 i. Club Assembly: Rs 25,000 j. Vocational Awards: Rs100,000 k. Rotary International (II Half): Rs175,000 l. Audit Fee: Rs 10,000 TOTAL: Rs750,000 3. With Rs 750 K expenses and balance of about 287K, we have need Rs 463,000 to be collected as balance fee for the current year. With these details, Pres Chitte proposed that we take Rs 10,000 fee per member. This was seconded by Rtn Ajay Mutatkar and approved by all BOD members that we charge Rs 10,000 for balance period after putting same in AGM and based on all club members feedback finalize the figure as acceptable to all members. 4. President Chitte shared that Rtn Saleel Deshpande, Rtn Swaroop Godbole, Rtn Ashwini Muley, Rtn Sunil Patil have bot paid the first term frr of Rs 10,000 (each) so far. In addition Rs 3,000 each is pending from Rtn Saleel Deshpande and Rtn Amar Jadhav for last year as well. 5. President Chitte shared that for current year accounts work is in progress and all statutory requirements will be met. 6. For the Last Years return filing, President Chitte shared that Rtn Hemant Godbole has assured for completion and filing of returns. He has called a meeting with Past President and Past Secretary for discussion. 7. President Chitte shared that though Club Returns had not been filed till last year, from current year (FY 2022-23) same would be filed as it is statutory requirement. This was seconded by Rtn Ajay Mutatkar and approved unanimously. All necessary actions like arranging PAN etc will be done. 8. President Mahendra Chitte proposed that the Rtn Nivedita Mulay be nominated as president for the year 2024-25. This was seconded by Rtn Nandakumar Ghule and approved by all. 9. Presiden Mahendra Chitte informed that so far, He, Rtn Ajay Mutatkar, Rtn Dinkar Palaskar, Rtn Prakash Avachat and Rtn Sandesh Kothadia had registered for District Conference and more people should be encouraged to attend. Rtn Nivedita Mulay released cheque for Rs 8,500 during the meeting. 10. IPP Kiran Ingale shared that the Rotaract Club Bank account details will be available in a day or so. 11. It was shared by Rtn Sudhir Vaidya that we should consider Mr Tushar Shende and Rtn Chintamani Hasabnis for the Vocational Awards and plan the program during February. This was seconded by Rtn Kiran Ingale and approved by all. MOM – BOD – Pune Sahawas Rotary Charitable Trust November 27, 2021 Present: Pres Mahendra Chitte, Rtn Ajay Mutatkar, IPP Kiran Ingale, Rtn Pratibha Jagadale, Rtn Prakash Avachat, Rtn Dinkar Palaskar, Sudhir Vaidya, Rtn Nivedita Mulay and Rtn Nandakumar Ghule The Trust BOD Meeting was held at St Cripsen’s School Office on November 27, 2021. The points taken up for discussions are as under: 1. President Chitte informed based on his discussion with Rtn Hemant Godbole that the Trust Account for last year would be completed shortly and returns would be filed accordingly. The previous rear President, Secretary and the Treasurer would be meeting in coming days for finalizing the same. 2. President Chitte shared that the MUMMY Van work was in progress and Vehicle Passing was completed recently. Further progress will be shared in next Board Meeting. 3. IPP Kiran Ingale proposed that Adv Gautam Inamdar (phone no 7350903872) be appointed lawyer for addressing the Trust issues. This was seconded by President Chitte and approved by all. The fee and other details will be shared after discussions with the Lawyer. 4. The following projects and costs for same were proposed by President Mahendra Chitte and seconded by Rtn Prakash Avachat: a. Payment of balance Rs 1995, spent by Pres Mahendra Chitte for the Diwali Pharal Project at St Cripsen’s school. b. Payment of Rs 20,000 for fixing of Tiles at Ajinkya Dedge school (Trust received donation of Rs 15, 000 from Mr Jai Shah and Rs 5,000 Mr S R Shah. The Tiles have been donated by Rtn Dhanesh Shah. c. On Behalf of Rotary, 6 matrasses have been planned to be given to Aajol, Sinhagadh Road. d. Payment of Rs 10,000 for the Suphalam Project, Fruit bearing trees to be given to farmers. e. Payment of Rs 10,000 for the Balikashram project. f. Plan for Pinjra for Environment Project – Near Tathavade Udyan, expected cost Rs 45,000. g. Take up work for Personal development and English proficiency development at Ajinkya Dedge School. Ann Swati Kothadia and Rtn Ajay Mutatkar would be taking training in these areas in the school. h. Skill Development – Tally software teaching course planned by Rtn Mahesh Gavaskar. |
